INTRODUCTION TO INDEX AND INVENTORY OF USGS MAPS USING MICROSOFT ACCESS Introduction |
|
| Introduction | |
This database was created using Microsoft Access 2.0 in Windows 3.11, with data issued by the United States Geological Survey (USGS) in February 1998. The database contains information about the topographic maps sold by USGS of the United States and its territories. The following scales are included in this database: 1:20,000 (Puerto Rico), 1:24,000, 1:25,000 (USGS & DMA or NIMA), 1:50,000 (DMA or NIMA), 1:63,000 (Alaska), 1:100,000 (USGS and BLM), 1:250,000, 1:500,000 (state base map). Each map listed contains the following information:
The scale field has been removed from all but the "Counties" and "Misc" tables. There are no ISBNs for the 1:50,000 and 1:25,000 issued by the Defense Mapping Agency (DMA, now NIMA). The columns "Date received," and "Call number" in certain scales, have been added. The database was designed to help libraries keep an inventory of their holdings of USGS maps. It assumes that most libraries keep their 1:24,000 (7.5') topos segregated by state. Libraries differ on how they separate the other maps. Therefore, the database makes it possible to keep track of maps, such as the 1:100,000 or 1:250,000, by scale, by state, or both. Each state, including Washington, DC, has a "1:24,000" and "Misc" table. Puerto Rico does not have a "1:24,000" table, but does have a "1:20,000" table. In addition, Alaska has a "1:63,000" table. "American Samoa," "Guam," "Virgin Islands" and "World" do NOT have "Misc" tables. |
|
| All Tables | |
Each table has been encoded with a Primary Key. This key tells the computer which column in the table should be used for putting it in order. Most Primary Keys are the "Map name, State" column; this ensures that the data will be alphabetized by the map name. However, some tables ("1:25,000," "1:100,000 & 1:50,000 County," "1:50,000," "1:250,000" and all "Misc" tables) are in "USGS #" order. Orthophoto and satellite maps may be found in their appropriate tables. Within each state list you will NOT find maps of overlapping states-these have been removed. The overlapping maps can only be found in the state tables, when that particular state comes first in the name. For example, Ashaway, R.I.--Conn. can only be found in the "Rhode Island 1:24,000" table, NOT the "Connecticut 1:24,000," while Voluntown, Conn.-R.I. can only be found in the "Connecticut 1:24,000" NOT the "Rhode Island 1:24,000" table. |
|
| 1:24,000 (1:20,000 Puerto Rico and 1:63,000 Alaska) Tables | |
| These maps have their own individual tables for their respective states. There is no "Master" listing of all the 1:24,000 topos of the United States (Access is limited to 30,000 items per table). All the "Shaded Relief" and "National Park" maps have been removed and put into the appropriate "Misc" tables. | |
| 1:25,000 Table | |
| A majority of the maps in this list have been produced by USGS; the rest by DMA. Most libraries shelve the DMA set by series and sheet number (i.e., Series V877 Sheet 4961 II NE) rather than sheet name (Big Bull Mountain). The series and sheet numbers are NOT given in this database--they were not included by USGS. | |
| 1:50,000 Table | |
| The 1:50,000 maps have been produced by DMA. Most do NOT have ISBNs. Like the 1:25,000, these maps are usually shelved by set by series and sheet number (i.e., Series V777 Sheet 4762 IV) rather than sheet name (Holy Cross). The series and sheet numbers are NOT given in this database--they were not included by USGS. | |
| 1:100,000: Topographic, Mineral Management Status, Surface Management Status Tables | |
| These three are separated into distinct sets. All types of maps are included with each set-topographic metric (TM), topobathymetric (TB) and planimetric (PL). Most of the Eastern states do not have Mineral or Surface Management maps. | |
| 1:250,000 Table | |
| This table contains data on all types (topographic, topobathymetric, radar image, boundary, ecological, and shaded relief) of 1:250,000 maps, except National Park maps, which have been placed in their appropriate "Misc" tables. | |
| 1:100,000 & 1:50,000 County Table | |
| The "County" Table contains data pertaining to the maps of the counties of the US. The scale column was not stripped out of this set, since the scale can be either 1:50,000 or 1:100,000. | |
| Misc Tables | |
| These tables contain lists of maps that do not fall into any other category. These lists include Basemaps, National Park Maps, Shaded Relief maps and State Indexes. Orthophoto and Satellite maps may be found with their respective scales (1:24,000, 1:25,000, 1:50,000, and 1:250,000). | |
| United States 1:100,000 Land Use/Land Cover, United States 1:250,000 Land Use/Land Cover, and United States National Atlas | |
| These sets have been placed in their own tables. | |
| How to Update Your Database using Microsoft Access | |
Let's assume you have received the 1990 Alamosa, Colorado version of the 1:100,000 Mineral Management Status map. You wish to update your database to reflect this acquisition. Once in Access, select "File--Open Database" and select "topos.mdb." Once this is open, double click on the "1:100,000 Mineral Management Status" table. Now you are ready to update the table. Move your cursor down to "Year" field of the "Alamosa, CO" row. Highlight the field. Type in "1990." Next move to the "ISBN" field, and type in the new number. The "ISBN" changes with each edition of the map; the "USGS #" remains constant. Now move over to the "Date received" field and type in today's date. You may also use the shortcut key for adding the date-- " |
|
| Creating Other Tables | |
| You may wish to create a table of a particular state of a particular scale (other than 1:24,000). Let's assume you want to create a table of all the 1:100,000 Topographic maps of Missouri. First, check the list on the following page to make sure that there are maps of Missouri at that scale. Once you have confirmed this, click on the "Query" sidebar. You will see a list of queries. Each is set up to use a particular table. Click once on the "100 Topographic" query. Click the "design" bar. A new window will appear. At the bottom of the window, you will see a table in which the first row is labeled "Field." Move across that table until you come to the "USGS #" column. Currently, the "Criteria" field should read "Like "*T*"". After the "T" in that field, add the 2 letter postal code of the state (a list of the codes may be found on the following page). Be sure to use capital letters. In this case, Missouri would be "MO." Your new field should now look like this: Like "*TMO*". To run the query and see the new list, click on the "!" button at the top of the screen. A new table should appear with only the 1:100,000 Topographic maps of Missouri in it. If you wish to save the table, you may use the "Query -- Make Table..." command. Once you are done examining this new table, close out of the query. It will ask you if you want "Save changes," click "NO." | |
