CSM Research Centers are required to submit to Arthur Lakes Library a copy of each Center
publication as part of their operating conditions. Bound material will be
cataloged and will become part of the Library's Catalyst online public access
catalog. This will provide more widespread awareness of CSM Research
Center publications and improve access to these publications over time.
Materials that are not bound (for example, preprints of articles) will be filed
by CSM author name in the CSM publications file cabinet in the Reference Room.
What is a
"publication?"
Included are materials that are produced by the Center for distribution to
the public by free exchange or sale, or publications sponsored or co-sponsored
by the Center. Examples: annual reports; final project reports; research reports
(numbered or otherwise); monographs; conference proceedings; short-course notes;
maps. Materials can be in hardcopy or electronic format. The Library will review
all submissions and return materials not appropriate for public or archival use.
What doesn’t
have to be submitted?
These materials are intended for public or archival use so not all materials
are appropriate. It is not necessary to submit material that will be made
available to the public by other means. Examples of materials that do not
need to be submitted:
- Researchers’ articles that have been submitted to a journal that will
enter the mainstream of published literature. (However, these are welcome
submissions to the Library's file of faculty reprints.)
- Applications software.
- Status or interim reports.
What about
proprietary materials?
Some Center reports may be produced for controlled or private distribution
and would not be considered "published." However, Centers are urged to submit a copy for archival purposes where possible. Materials can
be treated as proprietary and removed from public access for a specified length
of time. (This is an ongoing policy with proprietary dissertations and theses.)
What about materials that contribute to the income of the
Center?
These materials should be submitted. The Library follows copyright
guidelines and will not copy an item outside of those guidelines. The staff can also restrict borrowing by other libraries and can refer requests directly
to the Center as a document supplier. If there are additional concerns, Library
staff members can discuss with the Center director the possibility of materials being treated
as proprietary and removed form public access for a specified length of time. In
the interim the Center gains free publicity and increased recognition of their
research contributions through Catalyst.

Library Reference Office.
