Hiring Excellence Training (Hex)
Hiring Excellence (Hex) training is now two parts comprised of eLearning and in-person learning.
Search committee members can sign up here. Part 1 is the eLearning and part 2 is the in-person class.
HR requires attendance every 2 years.
Interview Guidance
As outlined in the Hiring Excellence training, is important to first collaborate with your Talent Acquisition Partner (TAP) to develop your interview plan. The TAP will provide guidance to ensure your interview process is compliant, diverse, and a great interview experience for all candidates. HR is available to assist with any necessary accommodations for interviewees. It is critical to plan behavioral based questions, have a scoring rubric, and a diverse interview committee. Following the completion of interviews, work with your TAP to provide timely status updates to all candidates.

Ready to Make an Offer?
Once you have selected your finalist, notify your Talent Aquisition Professional (TAP) to start the offer approval in Workday. Remember, all offers of employment, including verbal offers, must be fully approved in Workday before you communicate the specifics of the offer with the candidate.

Student Hiring
Mines transitioned away from the position management-based hiring process for Undergraduate employees in May 2024. By moving to a job management-based process, you will be able to use the Direct Hire feature in Workday to hire Undergraduate students, saving time for both you and the students you employ.

- If you do not know the student you wish to hire and need to recruit, please submit an Evergreen requisition request form.
- For Job Aids, forms and contracts, please visit the MAPS Knowledge Base for updated information.
Some but not all student positions, (both graduate and undergraduate) require background checks based on the duties assigned to the position. To determine whether or not your student role requires a background check, please review both policies listed here:
Reminder: If the position requires driving on a regular basis, a Moving Vehicles Records search is also required.
Contingent Workers
Contingent Contractors are processed Workday using the Job Requisition process. We will no longer be using the EIB load process unless we have a high-volume request.
Note: This process should only be used AFTER all Procurement processes are fully complete.
Contractor Worker types (Job Profile) include: Contingent Foundation Employees, Contingent Joint Appointments in ROTC, Contingent Child Care Contractor, Contingent Contractor, and Contingent Dining Services Contractor. Please note that all processes with Procurement must be finalized and completed prior to initiating the JR request. No appointment letter, nor background check will be processed for these contracted worker types. Contractors to do need to apply to an evergreen job requisition.

- The job aid has been updated with instructions to start a job requisition to hire all new contingent and connected workers. Again, you will not be filling out the EIB request form for contractors as we had first instructed as we want to ensure the appointment is approved and processed using the Workday functionality as advised.
- This change does not impact Fall 2024 adjuncts as we will be moving them to Connected status for continued access. More information coming soon to you and to the adjuncts on this movement. No action is needed on your part to move a current adjunct to Connected status for January.

Mines Exemption Process
Your Talent Aquisition Partner on the Recruitment Team in HR will guide you through the process to request exemptions (including re-exemptions) and creating job descriptions (including changes to existing jobs already exempted) for Administrative Faculty, Research Support, Research Faculty, and Library Faculty positions.
