Course Level Change Request

This form is intended for use by current Undergraduate and Combined Program students who are requesting a graduate, 500-level course (or courses) to be changed from 'UG' to 'GR' level designation for either the CURRENT or UPCOMING term ONLY. Any changes to Course Level may have an impact on your financial aid. All requested changes must be submitted prior to the Add/Drop deadline. (Starting in Fall 2024, only 500-level courses can be updated to 'GR'. For Combined program students, some previously approved 400-level courses taken prior to Fall 2024 may be used toward 6 credits of double-counted coursework.)

'UG' courses count toward the Undergraduate Degree (double-counted courses must also be 'UG')
'GR' courses count toward the Graduate Degree

Prior to being awarded an undergraduate degree, students may complete a MAXIMUM of 12 credits of 'GR' coursework. Once admitted as a Combined student (i.e., beginning your graduate program before your undergraduate degree is awarded), you may "double-count" up to an additional 6 credits of applicable 500-level coursework coded at the 'UG' level towards your graduate degree (double-counted courses MUST be coded at the 'UG' level to be applied to both degrees). Only Combined students are permitted to double-count courses.

Note: By changing a course's level to 'GR', it CANNOT be used to award your undergraduate degree. If you decide not to pursue a graduate degree at Mines and wish to apply a 'GR' course to your undergraduate degree, you must submit a Course Exception Form (link on Trailhead) to receive approval for where it should be applied; if approved, the course will be updated to 'UG'.

When completing this form, if your request will put you over the maximum number of allowable 'GR' credits, your request will be DENIED.

As a current Combined Program student (who has not yet been awarded the BS degree and already has a GR program added to your account) you are eligible to complete a MAXIMUM of 12 credits of 'GR' coursework and may double-count an additional 6 credits of 500-level 'UG' coursework for your graduate degree (for a total of up to 18 credits toward your graduate degree while still an undergraduate student prior to your BS being awarded).

As a future Combined Program student (who has not yet been awarded the BS degree and has not yet had a GR program added to your account) you are eligible to complete a MAXIMUM of 12 credits of 'GR' coursework prior to the awarding of your BS degree. Once you officially become a Combined Program student, you will become eligible to double-count an additional 6 credits of 500-level 'UG' coursework for your graduate degree (for a total of up to 18 credits toward your graduate degree while still an undergraduate student prior to your BS being awarded).

As a current undergraduate student with no intention to become a Combined Program student, you are eligible to complete a MAXIMUM of 12 credits of 'GR' coursework prior to the awarding of your BS degree, but please note that only 'UG' coursework can be applied toward your BS degree and any courses whose levels have been changed to 'GR' CANNOT be applied toward your BS degree. If you need a 500-level course to apply toward your BS degree, then the course needs to remain at 'UG' level designation and you should not complete this form.

The Registrar's Office will confirm your upcoming graduation status to ensure you have applied to graduate at the end of the current term and that you are meeting graduation requirements for your BS degree before changing your next semester's course registration to be entirely 'GR'

WARNING: If the level changes you are seeking through this petition will mean that you are enrolled in fewer than 12.0 credits at the 'UG' level, your financial aid may be adjusted or cancelled--please count your credits NOW (before submitting the form) and reach out to Financial Aid if necessary.

Students are limited to a MAXIMUM of 12 'GR' level credits prior to the BS degree being awarded. Any requests that would put you over that limit will be DENIED and the course will remain coded as 'UG'; courses coded as 'UG' are NOT permitted to count toward a graduate degree unless you are admitted to a Combined Program and the course is being used as one of your two, double-counted courses as permitted by the Combined Program.
