Preparing Your Program for Departure

STEP 1: Complete Requirements 60 days prior to departure

  1. Work with MAPS to purchase flights and submit expense report via Chrome River if needed
  2. Work with program provider or co-leader to advise students on airport pickup instructions, if not traveling on a group flight

STEP 2: Complete Requirements 30 days prior to departure

  1. Purchase CISI International Travel Insurance (some providers include this insurance in program cost)
    1. All travelers are required to have adequate international insurance per Mines International Travel Policy
  2. Enroll in the U.S. Department of State’s Smart Traveler Enrollment Program, remind students to do the same
  3. Host Pre-departure Orientation with Education Abroad and program provider as applicable
  4. Work with Education Abroad to secure emergency contact information for each student, and discuss their Emergency Communication Plan with the Office of Education Abroad

ADVICE FROM PAST PROGRAM LEADERS:

  • Choose a class with a wide audience that fulfills requirements for multiple degrees.
  • Plan to market the class early and often. It takes a lot of effort to get the word out for a first offering of a class abroad.
  • Schedule the class to provide 3 or 4 day weekends to facilitate travel.
  • Prepare course content in advance so you actually have time to explore/travel yourself.
  • Plan flexibility into your course syllabus. Students will inevitably have travel delays or other issues come up.
